Code of Conduct

CODE OF CONDUCT for MEMBERS IN GOOD STANDING

of BAFTA East Coast

 

Application and interpretation of the Code of Conduct will be determined by the Board in its sole discretion.  Any Member not adhering to these principles and policies may be subject to review by the Board and may face disciplinary action, including but not limited to suspension or termination of their membership, in accordance with the Bylaws of the Academy. 

 

Comments or questions may be brought to the attention of the Academy in writing, by email or by telephone, directed to the Chairman or Chief Executive of BAFTA East Coast, or if relating to a specific Committee’s activities, to the Chair(s) of that Committee.

 

Every Member of the British Academy of Film and Television Arts East Coast (“The Academy”) will, at all times:

1). Preserve and promote the interests of the Academy.

2) In all matters treat with respect and courtesy other Academy members, Academy office staff and any staff, guests and promoters at any and all Academy events.

3) Behave in an appropriate manner at any and all events pertaining to the Academy, including but not limited to actual Academy events, and will follow any policies or guidelines established by the Academy.

4) Pay their dues within two months of their renewal date.  All paying Members will receive ample email reminders regarding their renewal.

5) Note that BAFTA East Coast membership cards are for the use of the Member only and are not transferable.  They may not be altered or duplicated, nor loaned or given to other parties including family members, friends, or members of the press. 

 

Screenings and Other Events

1) Cancellations for Members and guests will be closed at midnight prior to the screening.  For weekend screenings, the cutoff time is noon on Friday.  Because last-minute cancellations mean that seats will not be filled, Members who do not cancel prior to this time will be recorded as no-shows. 

2) Members generally need not worry about changing a guest’s name on the RSVP list if there is a late switch.  However, the total number of registrations is key.  If a guest cancels after the deadline, it is the Member’s responsibility to find a replacement, or the guest’s cancellation will count against the Member’s record as a no-show for that screening. In certain circumstances for Security purposes the name of the guest will be required to be entered into a master security list. The invitation will make it clear when names are required

3) Members are asked not to register for a screening unless they are reasonably certain that they will attend.  Reserving seats they will not be using not only prevents other Members from being able to register, but because of the significant number of late cancellations it is not practical to fill a screening from the Wait List.  Members who habitually make reservations and then cancel them will have their screening privileges suspended.

4)  Members may not bring unregistered guests to a screening.

5)  Guests will not be allowed into a screening or event without their Member-host being present,

6)  Members no longer have to bring their confirmation print-out to a screening unless they register after midnight on the day of a screening.  However, it is the Members’ responsibility to ensure that their reservations have been completed and that their and their guest(s) names will appear on the RSVP list.  They must:

            - Make sure to hit “Finish” when completing their online reservation

            - Make sure that an email confirmation has been received

7) Members will be required to show their current BAFTA membership card at check-in.  They should be prepared also to show a valid photo ID if asked.  This is for the Members’ protection, to make sure that no one is passing their membership card along to a non-member.

8) Members are responsible for making sure that they and their guests are properly checked in, so that they will not be counted as no-shows.

9) All screenings will start at the scheduled start time.  The check-in desk will close five minutes before start time to allow everyone to find their seat.  If the check-in desk is not manned when a Member arrives, that Member will be counted as a no-show.  Latecomers will not be admitted. 

10) Members who accumulate four no-shows (including guests) within ten screenings will be subject to review by the Screening Committee and will be barred from registering for future screenings until 24 hours prior to the event.  A further two no-shows will be referred to the Board and the member’s screening privileges will be suspended or terminated.

11) Out of respect for the filmmakers and for the studios which graciously host BAFTA's screenings, and in light of BAFTA's status as a professional organization, members and their guests who attend screenings are required to stay through the end of the credits, and through the Q&A if there is one, unless there are extreme extenuating circumstances.

12) BAFTA sometimes sets aside seats at screenings for volunteers or BAFTA or studio guests.  These seats may not be used by others unless they are explicitly given permission to do so by a BAFTA Board Member, a Screening Committee member, or a volunteer empowered by a Board Member or Screening Committee member.  All other seats are unreserved. 

13) Security firms are often hired by studios to attend screenings for the purpose of preventing piracy.  If security is present, Members’ bags may be checked, and members may be asked to leave cell phones, cameras and/or computers at the check-in desk for pick-up after the screening.  Neither BAFTA nor the venue is responsible for items left with security.  Whether or not studio security is present, a Member who arrives at a screening with a camera or other device which could be used to make a recording may be denied entry to the screening.  All electronic devices must be powered off at all times during screenings, Q&As, panels, and other non-party events.

14) Sponsors, studios and networks provide facilities and programming for BAFTA East Coast screenings, Q&A sessions and other programs on the basis that these are private events only for BAFTA East Coast Members and their guests or persons invited by the BAFTA East Coast Board or staff.

15) No Member or guest may take notes or recordings in any way at any film screening, Q&A session or event presented by, or hosted by, BAFTA Coast alone or in association with any other organization.  No Member or guest may publish, cause to be published or otherwise provide coverage in any sort of public forum in any medium, as a result of attending a BAFTA East Coast screening or event without the written authorization of BAFTA East Coast.  This rule applies equally to pre-release and post-release Academy screenings.

 

16) BAFTA East Coast will often have a photographer covering Q&As and other events; this person is authorized by BEC, the studios and/or PR companies to take photographs. Members and guests are not permitted the use of cameras or still or video photography or audio/recording equipment of any kind, including cell phones or other consumer recordings at any of BAFTA East Coast screenings or events.

 

17) No Member or guest may solicit invited talent, celebrities, or event guests with scripts, business cards, or other business materials, or request autographs or photo opportunities from them.

 

18) Members are responsible for the behavior of their guests and should ensure that their guests adhere to all of the rules above.  Members will be subject to disciplinary action for any breach of this code by their guests.

 

19) Inappropriate behavior by Members or their guests is not acceptable.  Any Member who has an issue at a BAFTA screening or event may take the matter up with a Screening Committee member or Board Member in attendance, or afterwards via email sent to screening_management@baftaeastcoast.com.

 

 

For Voting Members 

 

During the period leading up to the British Academy Film Awards, BAFTA East Coast provides distributors with a list of Voting Members for distribution of materials for voting consideration such as screeners and screening invitations.

 

By requesting to receive such materials from outside parties, Voting Members agree to be bound by the Code of Conduct set out below.  A Member’s failure to agree to these terms will result in that Member’s not receiving screener DVDs.

 

1)      DVD screeners are sent to Members for promotional commercial purposes only, specifically for personal viewing for consideration for the Orange British Academy Film Awards.

 

2)      Every screener sent to a Member remains the property of the distributor which has provided it, and which may request its return (at the distributor’s cost) after that year’s Orange British Academy Film Awards.

 

3)      If distributors have not requested their return, Members will destroy or otherwise securely dispose of all unwanted screeners after such date.

 

4)      Members will:

a.      not distribute, loan, sell or give a screener to anyone

b.      not reproduce a screener by any means

c.      report any theft or loss of a screener immediately to the Academy

     Any proven case of misuse will result in automatic loss of membership.

 

5)      A Member who does not exercise his or her vote may not be eligible to receive screeners in the future.

 

6)      The delivery of screeners, screening invitations or other relevant voting materials from outside parties is not guaranteed to every Member.  On occasion, mailings may only be sent to a random selection of Members.

 

7)      Neither the Academy nor outside parties can enter into correspondence regarding the distribution of specific screeners or screening invitations.

 

8)      Screeners should be treated as a supplement to the many screenings organized for Members.  As screeners and screenings represent only a portion of the eligible films, Members are strongly encouraged to watch films at the cinema as well.

 

9)      A Member who RSVPs to attend a screening organized by a studio or distributor but fails to attend may be permanently removed from that organizer’s mailing list.

 

10)  Reports of any Members behaving abusively toward Academy staff or staff of outside parties will result in such Members losing their film voting rights and may lead to further disciplinary action.
